FAQs about retainers
- What are the benefits of a retainer?
✅ You’ll gain an extension of your team, not just another vendor.
✅ You’ll see results faster because we’ll focus on KPIs instead of simply completing a to-do list.
✅ You’ll get first-priority access to top-notch specialists without having to wait in line.
✅ You’ll also get access to:
- An experienced Account Manager
- An online project management system
- Reporting dashboards viewable 24/7
- Regular video check-ins
- A consistent monthly budget
- No long-term contract (cancel w/ 30 days’ notice)
- How do you charge?
We charge clients based on the number of “points” they buy each month.
The formula is simple: one point = $75.
- Do points equal hours?
No, points ≠hours!
That means there’s:
❌ No variable rates based on junior- vs. senior-level employees
❌ No extra charges for revisions (up to a reasonable amount, of course!)
❌ No surprises when you get your bill; your budget is tracked in a “game plan” spreadsheet
It might sound confusing, but we promise you’ll love this model once you get started!
Why? Because it simplifies budget allocation and ensures that you get the full value of every dollar spent, regardless of how much time it takes to deliver.
- How many points do I need?
Most of our clients have retainers between 60-250 points.
âś… Basic-level retainers (60 points = $4,500/month) are good for departments looking to start strong in HubSpot by focusing on a few high-impact priorities.
âś… Professional-level retainers (120 points = $9,000/month) enable teams to pick up speed in HubSpot with consistent, multi-channel execution.
âś… Enterprise-level retainers (200 points = $15,000/month) are best for aggressive, high-impact HubSpot teams serious about scaling.
- How many points do things cost?
It depends!
For example:
- Is your nurturing campaign using an existing landing page template? Or are we designing one from scratch?
- Is your Google Ads campaign going to have one ad group or a dozen?
- Are we writing your next white paper or just designing it?
We know that might not be the definitive answer you’re looking for, but rest assured that we’re all about budget transparency in our daily communications. You’ll always have a full breakdown of exactly where your points are being spent!
- How long are your retainer contracts?
- What other rules apply to retainers?
âś… You can increase or decrease the number of points at any time.
âś… We reserve 20% of your points every month for account planning, strategy and reporting.
âś… Points are invoiced in advance of the month’s work. For example, the bill for work being done in March will be issued on March 1 and due on March 31.
âś… Media costs are paid directly by the client. In other words, your credit card will be on file with Google Ads; the media costs won’t flow through us.
- Who will work on my account?
Your Account Manager is your strategist, project manager and day-to-day contact all in one. Everyone in this role has deep HubSpot expertise, which means they’re not just keeping things moving, they’re proactively pushing your account forward.
You’ll also have access to a bench of more than a dozen specialists including designers, developers, writers, technologists and more, ready to jump in whenever the work calls for it.
- What is project management like?
During onboarding, your Account Manager will set you up with a few different tools to make communication and project management a breeze. This will include an invite to:
- Teamwork: Our online project management platform where discussions about your retainer will happen. This is also where we’ll recap meeting notes, assign our internal team members tasks and more. While notifications will push to email, a permanent record will remain in Teamwork, just in case anyone is on vacation or wasn’t cc’d on an email!
- Game plan: This shared Google Sheets document will contain multiple tabs, including what we’re working on this month, a parking lot of ideas for the future, a content audit, important links/passwords and more.
Once the retainer is underway, you will also have:
- Weekly, bi-weekly or monthly status calls with your Account Manager (frequency depends on retainer size)
- Monthly meetings to more formally review KPIs and dashboards
- What happens during the first few months of a retainer?
We understand you don’t want to wait months for results, but we’ve also been doing this long enough to know that jumping right into random, disjointed tactics won’t produce sustainable growth either.
That’s why we start each retainer relationship by developing a strategic plan that balances quick wins with long-term strategy.
In the first months, you can expect a(n):
- Detailed kickoff call to help us learn about your business
- In-depth review of brand standards, existing collateral and other sales and marketing material
- Account strategy plan with personas, customer journey, competitors and more
- Three-month game plan outlining your main goals and how we will work toward achieving them
- Chunk of time dedicated to checking must-have items off of your immediate to-do list
- Breakdown of where your internal team members could pitch in to make things go faster—we’re all about collaboration!
